Event staff are hosts, service staff, set-up crew and promoters who look after events on site. With ucm you book students with an over 98% fill rate, a no-show rate under 1% and replacement in about 2 hours. Prices start at €27.50 per hour.

What Does Event Staff Do?

Event staff make sure an event runs smoothly without pulling your core team away from its work. They welcome guests, serve, check admission, build up and take down, and support activities at the stand. Which tasks come up depends on the format, size and length of your event.

Event staff is a collective term for temporary workers and specialists who are deployed for the duration of an event and take on operational tasks on site. They usually work in shifts, are placed through an agency and receive a short briefing before the assignment.

Whether it is a trade fair, a company party, a congress or a product launch, the basic question is always the same. How many people do you need, for which roles and at what times? The more precisely you define this in advance, the better the staff can be planned and the less you pay for idle time.

Which roles and tasks does event staff cover?

The most common assignments fall into six roles. Many events combine several of them. At trade fairs and congresses the range runs from stand construction to dismantling.

For tasks with guest contact, appearance and language skills count. For set-up and dismantling, stamina and punctuality matter. So tell the agency not only the headcount but also the role and requirements per shift.

What does event staff cost per hour?

At ucm the base price is €27.50 per hour and typical hourly rates are about €30 to €48. There is no base fee. The rate depends on role, qualification, working hours and surcharges such as nights or public holidays. You will find all details on the pricing page.

A worked example: one person for 8 hours costs €220 to €384 depending on the rate. For a team of ten people that is €2,200 to €3,840 per day. Contract, shift planning and billing are already included.

The statutory minimum wage has been €13.90 gross per hour since 1 January 2026. (German Federal Ministry of Labour and Social Affairs)

The minimum wage is the floor for the pay of temporary staff. On top come payroll costs, administration and the placement itself. Always compare offers as a total price per hour worked and ask what is included.

Daily working time must not exceed eight hours and may only be extended to up to ten hours if the average does not exceed eight hours. (Section 3 German Working Hours Act)

Plan shifts so that breaks and maximum working hours are respected. For long events such as trade fair days, two shorter shifts are often better than one very long one.

How do you book event staff step by step?

Booking takes only a few minutes when you have the key details ready. With an agency the process usually looks like this:

  1. Define event, date, location and shift times.
  2. Decide the roles and the number of people per shift.
  3. Note requirements such as languages, dress code or experience.
  4. Send the request to the agency and review the offer.
  5. Confirm the assignment and provide briefing documents.
  6. Brief the staff on the day of the event and give feedback afterwards.

How do you recognise a good agency for event staff?

Four objective questions help with the choice, with no marketing promises involved:

An agency that answers these four points openly is usually reliable. If answers are evasive or figures are missing, it is worth comparing with a second agency.

Why book event staff with ucm

ucm has placed students at events since 2014. These figures document the service, according to the facts page:

ucm is the employer of the staff and holds an AÜG licence. About 85% of placement steps are AI-supported, steered by a local team. (ucm facts)

For you this means no contract overhead of your own, no base fee and predictable costs from €27.50 per hour.

Frequently asked questions about event staff

How much event staff do I need for my event?

The number depends on guest count, duration, programme and roles. At admission, the arrival rate of guests sets the need, and in service it is the volume of food and drinks. Give the agency guest count, duration and programme, and it will propose a suitable crew per role and shift.

How short-notice can I book event staff?

The earlier the better, because you then have more choice of profiles and times. At ucm over 60,000 registered students are in the pool, and if someone drops out, a replacement arrives in about 2 hours. So send your request as early as possible to cover roles and times properly.
